Step-by-step guides for AlphaOS: how to do every action in the console — where to click, which fields to fill, what happens.

Getting started

Quick start

From sign-up to a ready workspace in a few minutes.

  1. On the login screen click “Create a church”, enter a name, email and password.
  2. In ~60 seconds the space is ready — you automatically become the owner.
  3. You immediately get the console and a public site on a subdomain. The dashboard shows an onboarding card with 3 steps: set up the site, add people, share the QR.
  4. Fill your church with data (or let AI draft the site) and share the /links page via QR.
Nothing to install — it all runs in the browser.
Getting started

How it works

Concepts worth knowing before you start.

One dataset
The site, console and /links page run on one database — a change in the console appears everywhere after you save.
Church workspace
Your church’s data is isolated from others. You own that data.
Roles
Access is set by role: Owner, Admin, Pastor, Finance, Minister, Viewer — or custom roles. Everyone except Viewer can edit.
Plans
Basic — management only; Standard — plus site and QR; Pro — plus the AI studio. The plan is shown in Settings and in the sidebar header.
Getting started

Console & dashboard

Modules on the left, a summary on the dashboard.

Sidebar
Sections: Dashboard, People, Small groups, Ministries, Service plans, Finance, Events, Tasks, AI studio (collapsible group), Prayer, Join form, Site, Settings.
Dashboard
A greeting, counters (people, groups, ministries, balance), a “Needs attention” strip (applications, prayers, overdue tasks) and cards: next service, tasks, events, birthdays, month finances.
View as role
At the bottom of the sidebar (Owner/Admin) — a “View as role” selector. Pick a role to see the console through its eyes; a banner appears with “Return to your role”.

People

The People section — profiles, import, tags, stages, duplicates.

At the top: a People / Families toggle, search, filters by stage (chips) and by tags, and a List / Grid toggle.

  1. Add manually: “Add person” → in the “New person” dialog fill name (required), gender, stage, phone, Telegram, email, birth date, city, tags → “Add”.
  2. Import: “Import” → drop an .xlsx/.xls/.csv (first row = headers) → map file columns to fields → pick a default stage → “Import N”.
  3. Bulk actions: “Select” → tick cards → in the bottom bar use change-stage, add-tag or delete.
  4. Export: “Export” downloads the current (filtered) list as CSV.
Custom fields
Settings → “Reference data” → “Extra profile fields”: add a field and pick a type (Text/Paragraph/Date/Number/List).
Tags & segments
Apply a filter (stage/tag/search) → a “Save filter” chip appears → name the segment. Reopen it with one click.
Membership stages
In a profile → “Overview” tab → “Membership stage”: click a different stage (change history is below). Edit the stage list in Reference data.
Duplicates
If cards share a name/phone/email, a “Duplicates: N” button appears → pick the primary (●) → “Merge” (notes, gifts, groups carry over).
Photos
Profile → “Profile” tab → “Upload photo” → “Save”.
App access
Profile → “Account” tab → email + role → “Create & send” (if email isn’t set up, it shows a temporary password).

Families

People → the Families toggle.

  1. Create: “New family” → a name → “Create” (the family card opens).
  2. Add people: in the card, “Add to family” → pick a person and a role (Husband / Wife / Child) → “Add”.
  3. Add a child not yet in the base: “Add a child not yet in the base” → name, birth date, gender → “Create & add”.
Traditional household: one Husband and one Wife, matched by gender. A person may belong to several families (e.g. a child in their parents’ and a spouse in their own).

Small groups

The Small groups section.

  1. Create: “Add group” → name, category, day, time, capacity, location, description → “Create”.
  2. Roster: open the group → “Roster” tab → add a person + role (Leader / Member) → “Add”.
  3. Attendance: “Attendance” tab → pick a date → “Log a meeting” → mark who was present, topic, guests → “Save”.
A person can be in only one small group — anyone already in another is hidden from the add list.

Ministries

The Ministries section.

  1. Create: “Add ministry” → name (e.g. “Worship”), category, description → “Create”.
  2. Team: “Roster” tab → “Core team” (leaders & core); for sub-teams click “+ Roster” (e.g. Vocals, Sound). A leader is a person with the Leader role. Ministries also have a “Position” field.
  3. Schedule: “Schedule” tab → “Schedule a session” → pick roster, date, service name, recurrence (Once / Weekly / Every 2 weeks / Monthly) → “Schedule”.
Serving schedules show in the Events calendar (admin-only, never on the public site).

Finance

Tabs: Overview, Income, Expenses, Accounts & currencies, Donors, Funds, Categories & budget.

  1. Accounts & currencies: “Accounts & currencies” tab → “+ Account” (name, currency, type, balance). Add a currency with “+ Currency” (code + symbol).
  2. Base currency: the “Base: {code}” button → set the new currency and a conversion rate (all amounts re-base).
  3. Transaction: “+ Add income” or “+ Add expense” → account, amount, FX rate (for non-base), date, method, fund, donor (income), category → attach receipts (up to 6) → “Save”.
  4. Budgets: “Categories & budget” tab → enter a monthly budget on an expense category (saves automatically). See “Budget vs actual” in Overview.
Campaigns
Funds tab → “+ New fund / campaign” → set a “Goal” (this turns the fund into a campaign with progress), dates. Campaigns show raised/goal, %, donor count.
Transfers
“Transfer between funds” (in Funds) — money moves between funds; not counted as income/expense.
Reports
Overview tab → pick a period → “PDF report”. Donor statements: Donors tab → open a donor → pick a year; the donor list exports to CSV.
Google Sheets
Income tab → “Google Sheets” → paste the link (anyone-with-link view) → map columns → “Import”.
Only roles with access see finances. A pastor may have “balance only” — without individual gifts or donors. Only Owner/Admin manage accounts and the base currency.

Events

The Events section — a month calendar (Monday-first) or a list.

  1. Add: “+ Event” (or click a day) → name, category, color, date, time, location, description.
  2. Turn on “Registration (RSVP)” and “Show publicly”; with registration add “Capacity” (blank = unlimited) → “Create”.
  3. Manage registrations: open the event → “Registrations” tab → “+ Add” (a member or a guest, phone, guests). “Check in” sets the “Present” status; “CSV” exports the list.
Visitors RSVP on the public /events page. On mobile the calendar defaults to the agenda (list) view.

Service plans

The Service plans section — an order-of-service builder.

  1. Create: “+ New plan” → the builder opens (title, date, time, theme).
  2. Add items with the “Add:” row (Welcome, Worship, Prayer, Sermon, Communion, etc.); each has a type, title, duration, responsible person and a note. Reorder by dragging the ⋮⋮ handle.
  3. Save with “Save changes”. Status is “Draft” or “Final”.
  4. Copy to another date: “Copy to date” → “+1 week” / “+2 weeks” / “+4 weeks” or a date → “Create copy”.
“Preview / photo for the group” renders a PNG of the plan to send to Telegram/Viber. In the calendar, clicking a plan opens a preview (with an “Edit” button).

Tasks

The Tasks section — a kanban board (To do / In progress / Done).

  1. Create: “+ Task” → what to do, description, status, priority, assignee, due date, link (ministry/group/event/plan/person) → “Create”.
  2. Move cards by dragging between columns. Moving to “Done” sets the completion date.
Tasks done more than a week ago auto-move to the “Archive” tab (from where you can “Reopen” them).

Prayer

The Prayer requests section.

Requests come in from the public site form. In the console there are two tabs: “New” and “Archive (prayed)”. On a card: “Prayed” (moves to archive), “Return to new”, “Delete”.

Public site & sharing

Public site

The Site section → “Save & publish” applies changes.

  1. Style: “Branding & home page” panel → “Site style” → pick a preset (Classic, Elegant, Modern, Bold, Calm, Editorial).
  2. Logo & color: “Generate” (AI) or “Upload”; set the “Accent color”.
  3. Hero background: “Bring the site to life (logo + background)”, “Generate (AI)”, “Upload”, “Adapt with AI”, or pick a ready stock photo.
  4. Text: tagline, hero heading/accent/subheading, “About us”. Below — Ministries, Vision, Schedule, Links & contacts, /links buttons, Giving panels.
  5. Click “Save & publish”. “Open site” shows the result.
Empty fields show the template’s default text. “Generate with AI” (Pro) fills the color, tagline, hero and “About” from a short description of your church.
Public site & sharing

Join form

The Join form section — a builder for the public /join form.

  1. Add a field: “Add field” → label (uk/en), section, type (Text, Phone, Email, Date, Paragraph, List, Buttons), options for lists, flags “Required” / “Full width” / “Show”.
  2. Order with ↑/↓ within a section. A toggle hides/shows a field; the pencil edits; the trash removes (custom fields only).
Submitted applications appear automatically in People (source “Site application”) and in the “applications pending” strip on the dashboard.
Public site & sharing

QR & /links

One hub — the /links page.

Your church has one public hub page /links (Linktree): the site, socials, join form, giving and your buttons. The printable QR points to it — and it stays current because it shows live data.

/links buttons
Managed in Site → “/links page buttons” panel (label, subtitle, URL; order with arrows).
Socials & giving
Added automatically from the “Links & contacts” and “Giving” panels of the Site section.
AI Studio (Pro)

AI Studio overview

The “AI studio” sidebar group: Library, Content, Presentations, Images, YouTube digest.

AI equips the minister — it gives raw material and design; the final word is yours. It works in your church’s voice and context.

Available on the Pro plan. It turns on when the platform owner adds the keys (ANTHROPIC_API_KEY, FAL_KEY) in Cloudflare. Without keys, buttons show a corresponding message.
AI Studio (Pro)

Content

The Content section — a “Content generator”.

  1. Pick a type: Post, Announcement, YouTube description, Invitation, or Sermon outline.
  2. Describe the topic and click “Generate”.
  3. Result: “Copy” or “To Library”. Everything is kept in “Generation history” — click to reopen; “Generate” again gives a new variant; the trash deletes.
AI Studio (Pro)

Presentations

The Presentations section.

  1. Paste a sermon text (or a topic) → “Generate slides”. The design follows your site style.
  2. Edit manually: on a slide card, the pencil (“Edit”): kind (Points/Verse/Quote), heading, point cards (up to 4), verse, quote. Arrows reorder; “Duplicate”, “Delete slide”, “Add slide”. “Title / closing” edits the deck title, subtitle and closing.
  3. Or describe an edit in the “Revisions” bar → “Apply” (AI rebuilds the deck).
  4. On a card — “Illustration” (AI photo per slide). Export — “PPTX” / “PDF”; “Full screen” for the projector.
AI Studio (Pro)

Images

The Images section — “Image generation” (fal.ai).

  1. Pick a type: “Preview (for posts)”, “Site photo”, or “Edit photo”.
  2. For “Edit photo” — “Upload photo”. Describe what you need → “Generate”.
  3. Result: “Copy URL” / “Open”. Everything lands in the “Gallery”.
A meter at the top shows “Used X / 50 this month” (monthly generation limit per church; cache hits are free).
AI Studio (Pro)

Bible study

The Library section → the “Bible study” button.

  1. Pick a mode: “Step-by-step study” or “Translation comparison”.
  2. Study: enter a reference (e.g. “John 3:16”), pick a translation → “Start study”. In the chat — quick actions: “Next thought”, “Original word”, “Cross-references”, “Digest”. Buttons “Save” (to Library) and “Create presentation”.
  3. Comparison: reference + up to 5 translations → “Compare” (side-by-side, verse by verse) → “Explain differences (AI)”.
The passage text comes from a real source (bolls.life). The goal is to equip your study, not to write the sermon.
AI Studio (Pro)

Site generator

In the Site section.

In the “Branding & home page” panel click “Generate with AI” → describe the church in a few sentences → “Generate”. AI picks the color, tagline, hero and “About”; you edit the draft and click “Save & publish”.

Access & security

Roles & access

Settings → the “Access” tab (Owner/Admin).

  1. Grant access: “Invite user” → pick a person from People → email + role → “Grant access” (an access email or a temporary password).
  2. Custom roles: “Roles & access” panel → “New role” → name, which sections it sees, finance access level, whether it can edit → “Create role”.
Managing users
On a user row — change role, reset password, disable access, delete the account.
Activity log
The “Activity log” panel shows who did what and when.
Reference data
The “Reference data” tab: membership stages, group/ministry roles, extra profile fields.
Access & security

Data security

Church data, kept safe.

Encryption
In transit — TLS/HTTPS; at rest — at the Cloudflare infrastructure level.
Passwords
Never stored in the clear — only a cryptographic hash (PBKDF2).
Isolation
Each church’s data is strictly separated from others.
Backups
Regular backups are taken.
Data-processing details are in the Privacy Policy.
Account

Plans & billing

Three plans; the current one shows in Settings and the sidebar header.

Basic — $39/mo
The full ChMS: people, groups, finance, events, tasks, roles. No public site or AI.
Standard — $49/mo
Everything in Basic + a public site, QR/links and branding.
Pro — $99/mo
Everything in Standard + the AI studio and 150 AI images per month.
If a section is not available on your plan, a “Available on the … plan” card opens with a prompt to upgrade.
Account

Your data

Your church owns its data.

You remain the owner of your data. People export to CSV (the “Export” button), finances to PDF reports and CSV. Your own name and password are changed in Settings → “Church”.
